The routine work runs on rules instead.

Importing price requests (RFQs), rebuilding price lists, reformatting offers, chasing stale stock, the work that fills the day and wins nothing. Automate turns each of them into a rule that runs without being asked.

The premise

Most distributors are not short of demand. They are short of hours.

The requests arrive. They arrive as spreadsheets, as PDFs, as the body of an email, at a rate no inside sales team can answer in full. So a fraction gets quoted properly, a fraction gets quoted late, and the rest quietly never reaches a person at all.

The instinct is to hire. The arithmetic rarely works: the volume is spiky, the work is repetitive, and the part that needs judgement is maybe a tenth of it. What is needed is not more people reading spreadsheets, it is a system that handles the nine tenths and hands your team the tenth.

What runs by itself

Rules that give a team its week back.

01

RFQs answered from live stock

A request arrives in any format. Lines are matched against your catalog, priced on that customer's conditions, and returned, with only the exceptions routed to a person.

02

Price lists rebuilt on a schedule

Supplier files land, currency and surcharge rules apply, and the resulting list is published to every channel. Nobody rebuilds a spreadsheet and nobody forgets one.

03

Offers written in their format

Each customer wants their own template, their own part numbers, their own columns. The mapping is stored once and applied to every offer after that.

04

Alerts before it costs you

Order volume dropping on an account, a price under floor, stock below safety, a project part ordered through someone else, flagged while there is still time to act.

Exceptions

The tenth that needs judgement still reaches a person

Automation that hides its own failures is worse than no automation. Every line the rules could not answer confidently is escalated with the reason attached, so your team spends its day on the decisions that actually need one.

  • Confidence threshold set per customer
  • Reason for escalation shown on the line
  • Nothing is sent that a rule was unsure about

Optional, billed per use, and off by default

The matching and extraction that need a model use one. It is opt-in, metered per request so the cost stays a line you control, and your catalog is never used to train a shared model.

  • Off until you turn it on
  • Billed per request, tracked per team
  • No training on your data, ever

Questions we get

What people ask before switching this on.

Only if you let it. Every rule has a confidence threshold and an escalation path, and you decide per customer whether an answer goes out automatically or waits for a person. Most teams start with everything held for review and loosen it once they trust the match rate.

They stop retyping and start selling. The distributors we work with did not cut headcount; they quoted three times the volume with the same team, and inside sales moved from data entry to account work.

Import and price-list automation typically run in the first week. RFQ automation needs a few hundred historical requests to tune the matching, so it is usually useful within a month and good after a quarter.

No. Distrify reads what your ERP exposes and writes orders back in the format it expects. If the only integration available is a scheduled export, that works too.
